Venue Prep Checklist Before Delivery Day

A little prep the day before saves a lot of stress when rentals arrive. Delivery teams move quickly and carefully, but they still need a clear path, a decided layout, and someone who can confirm placement. Treat venue prep as part of hosting—not an afterthought.

1. Confirm access

Note gates, stairs, parking, and whether a helper can guide the delivery team. Subdivision guards, locked side gates, and narrow alleys are common delays. If parking is limited, reserve a temporary unloading spot near the entrance.

Share the best contact number for the person who will be on-site. If that person changes on event morning, update us early.

2. Clear the footprint

Sweep the seating area and move fragile décor out of the walkway. Boxes, spare chairs from the house, and unfinished balloon piles create trip hazards and slow setup. Give the team a clean rectangle where tables and chairs can land first, then be adjusted into your final layout.

If floors were recently mopped, allow them to dry. Wet floors are unsafe for carrying furniture.

3. Mark wet or soft zones

Keep chairs off soggy grass or freshly watered lawns when possible. Soft ground makes chairs sink and tables wobble. Prefer compacted soil, paved areas, or temporary boards under legs for lawn receptions.

After rain, check for puddles along the path from the vehicle to the setup zone.

4. Decide layout early

Sketch where the food table, guest rows, and photo backdrop will sit. Even a rough phone sketch helps. Decide before delivery whether chairs face a stage area, form conversation clusters, or line a long dining row.

Changing the entire layout after everything is placed is possible, but it costs time you may want for styling and food prep.

5. Share landmarks and notes

In your booking, add a nearby store, chapel, or subdivision entrance so finding you is faster. Mention floor level, “second gate on the left,” or “blue roof beside the sari-sari store.” Small details prevent wrong turns on busy streets.

Morning-of quick check

• Path from parking to setup zone is clear.
• One person is ready to receive delivery.
• Final seating count is confirmed.
• Rain backup space is identified if outdoors.
• Kids and pets are kept clear of unloading.
